Our Commitments

  • We wanted to look at how we change how we make decisions, shape priorities and share opportunities in recognition that discrimination damages our mental health. Addressing inequalities is central to realising our vision and mission.

    We want to keep normalising the conversation about race, discrimination and inclusion.

    Take part in conferences where speakers and representatives with diverse backgrounds of all kinds and lived experiences are heard across all parts of the conferences and events

    Always ask ourselves, our teams and other organisers if we are making sure a wide range of voices and lived experiences are heard in our own events and those we participate in.

    We envisage a more reflective, representative and relevant organisation.

  • The Board of Directors may establish committees to oversee specific areas of the organisation’s work, including but not limited to:

    • Fundraising Committee

    • Programme Committee

    • Volunteer Committee

    Each committee will report directly to the Board. Committees may include Board members, members of the wider organisation and, where appropriate, external advisers or interested stakeholders.

  • Financial Year
    The financial year of the organisation shall run from 1 January to 31 December.

    Annual Budget
    The Board of Directors shall approve an annual budget setting out the organisation’s projected income and expenditure.

    The financial plan for Phoenix Support will account for operational costs including staffing, travel, training, facilities and outreach activity.

    Funding
    The organisation will seek funding from a range of sources, including grants, donations and partnerships with local businesses, charitable organisations and local or national government bodies.

    Financial Reporting
    The Finance Director shall present financial reports at each Board meeting and at the Annual General Meeting (AGM).

    Audit
    The organisation’s accounts shall be independently audited on an annual basis.

    Financial Controls
    All financial transactions shall require approval from both the Managing Director and the Finance Director, in accordance with the organisation’s financial control procedures.

  • Risk Assessment

    The organisation will conduct quarterly financial reviews to assess performance against operational plans, ensuring effective cost management and long-term sustainability.

    All staff will be engaged under formal employment contracts. This provides clarity of responsibilities and enables the organisation to adjust roles or staffing levels, where necessary, to protect financial viability.

    Mitigation Strategies

    The organisation will:

    • Maintain appropriate insurance cover for all assets, property and organisational activities.

    • Include a clear dissolution clause within the constitution to provide structured governance should closure become necessary.

    • Work collaboratively with partner organisations to strengthen service delivery.

    • Where appropriate, explore shared services, joint initiatives or realignment of provision to ensure sustainability and impact.

  • Compliance with Applicable Regulations

    The organisation will comply with all relevant statutory and regulatory requirements applicable to its activities.

    Where employees or practitioners are subject to professional regulation, we will ensure that they maintain active registration with their respective regulatory bodies. Systems will be implemented to monitor renewal dates and provide reminders at least three months prior to licence or registration expiry.

    Data Protection and Confidentiality

    All personal information will be handled in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

    Information will be collected, stored and processed lawfully, fairly and transparently. Individuals will be informed of how their data will be used, stored and shared.

    Confidentiality will be maintained wherever possible and appropriate. Where disclosure is required by law or safeguarding obligations, this will be undertaken in accordance with established policies and legal requirements.
